If you can manage most of your conference organisation in-house but need some additional resources we can provide support in key areas. We can tailor our services to meet your needs. You can create a bespoke selection from our portfolio of services. The most popular stand alone services are online delegate registration and online abstract submission and management.
On-line delegate registration
Hampton Medical has an experienced team of registration staff who are responsible for managing the registration process for all participants attending our events (on average 7,000 per year). We have developed a bespoke delegate registration system which can be programmed to suit the particular needs of your event. This well-developed system is also linked to our on-line registration site, allowing delegates to register on-line for events and to pay by credit card using a secure system. We are flexible and can manage registrations received both on-line and by traditional registration methods.
Your website can be linked seamlessly to this on-line registration facility enabling delegates to register for the conference on-line.
We can provide and prepare name badges to meet your requirements ie colour-coded for different categories, e.g. faculty, sponsor, exhibitor, Committee Member, VIP, press etc, and/or bar-coded to enable participants’ badges to be scanned on entry and exit to each session.
We are able to provide staff to run registration at the conference or alternatively we can arrange the transfer of name badges to the venue for venue staff or client personnel to distribute.
On-line abstract submission and management
Hampton Medical has considerable experience of handling large numbers of abstract submissions for medical conferences. Our custom-built computer programme can be adapted to take into account the specific requirements of individual conferences, particularly with regard to topic key codes and awards / travel grants, which may be linked to abstract acceptance.
The majority of Hampton Medical meetings involve managing abstracts. This includes small meetings with less then 50 abstracts and larger meetings with over 2,000 abstracts.
Both of the above services can be charged on a per delegate or per abstract basis, thereby keeping costs relative to revenue.
